Privacy notice

What happens to the details you give us when you get in touch, and the choices you have.

Who we are

OxTech AI Ltd, trading as OxTechAI, is responsible for your details. We’re registered in England and Wales, company number 16493266, and our registered office is Suite 1, Kurt Mueller House, Chapel Lane, High Wycombe, Buckinghamshire HP12 4BJ. For anything about your details, email enquiries@oxtech.ai.

What we collect

  • When you use our contact form: your name, email address, organisation if you give it, and your message.
  • When you email us: your email address and whatever you include.
  • When you phone us: the number you call from and what you tell us, which we note only so we can follow up.
  • When you visit the site: like any website, our host receives technical information such as your IP address and browser type. The security check on the contact form looks at similar signals to tell people apart from automated spam.

Why we use it

  • To reply to you and talk through whether and how we can help. We rely on our legitimate interest in answering people who contact us and, when you ask about working with us, on taking the steps you’ve asked for before any agreement.
  • To keep the site and the form secure and free of spam, which is also a legitimate interest.

We don’t sell your details, add you to a mailing list or use them for profiling.

Who else handles it

  • Cloudflare, which hosts this website, runs the contact form’s security check and sends messages from the form to our inbox.
  • Atlassian, whose Jira service keeps a copy of each message sent through the contact form so we can track our reply.
  • Google, whose Workspace service holds our business email.
  • Our phone service provider, which connects your call to us.

They handle your details on our behalf under their terms. Some of this may happen outside the UK, with the safeguards those terms set out.

How long we keep it

We keep enquiries and our replies for up to two years after we were last in touch, so we can pick up the conversation if you come back to us. If you become a client, we keep what we need for the work and for our business records.

Cookies

This website doesn’t set cookies. The contact form’s security check, Cloudflare Turnstile, may keep a small piece of data in your browser, on Cloudflare’s own site, to tell people apart from automated spam. The form needs it to work, and it isn’t used to track you. The questions panel keeps the questions you choose in your browser until you close the tab, so the conversation follows you from page to page; they stay on your device and are never sent to us. We don’t use analytics or advertising trackers.

Your rights

You can ask us for a copy of your details, or ask us to correct them, delete them, or stop or limit how we use them. Email enquiries@oxtech.ai and we’ll respond within one month.

If you’re unhappy with how we’ve handled your details, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

If the way we use your details changes, we’ll update this notice. Last updated 8 October 2026.
